KYOroute

YOUR SHORTEST ROUTE TO EFFECTIVE PRINT POLICIES

More and more companies are thinking about introducing rule-based print management.  Compliance and cost pressures are becoming increasingly important matters. External administration and transparency regulations such as Sarbanes-Oxley or ISO are making printing operations more complicated. Add internal drivers such as reducing environmental impacts and it is clear that these myriad requirements can only be met by introducing print rules. Intelligent solutions are needed that will guarantee simple operations, high flexibility and a high level of process automation, as well as a quick return on investment.

This is exactly why KYOroute was developed. Whether you are focused on economic efficiency, productivity, environmental protection or any other criteria; KYOroute will help you achieve your goals and implement a comprehensive print policy in order to ensure compliance. This innovative software solution controls all print jobs in the network and automatically routes them to the most suitable hardware according to your print policy. You decide who has access to which device. You decide who is allowed to print in colour and who is not allowed to print at all. You decide how to manage the environmental impacts of printing by routing jobs to the most energy efficient devices. Thanks to the integrated scripting language, KYOroute can be adapted perfectly to your own specific requirements.

KYOroute provides:

Your advantages at a glance
  • Simple set-up and implementation
  • Extensive IT time savings
  • Usage of the most appropriate devices
  • Transparency and control of print activities
  • Increased workflow efficiency
  • Customisation to individual needs
  • Substantial printing cost reduction

KYOroute enables you to decide who is allowed to print what and when on which device, thanks
to rules that you can specify. How you configure your print policy and define the corresponding rules in the application is entirely up to you.

No longer a grey area – Colour printing.
The misuse of cost-intensive colour systems is often a considerable expense factor, but not with
KYOroute. The integrated colour detection option allows you to ensure that mono print jobs are
not printed on colour systems. In addition, you can determine that colour documents can only be
printed during normal office hours. In that way you can ensure that the proper applications of
colour printing are clearly defined, and your valuable resources are used only for the intended
purposes.

Reduce costs while preserving the environment.
Desktop printers are not as cost-efficient when it comes to high-volume printing. Nevertheless, they are frequently used out of habit and convenience. With KYOroute you can specify that print jobs in excess of a certain volume, e.g. 30 pages, are automatically routed to a more economical machines such as workgroup printers or multifunctional devices. You can also route print jobs to specific devices according to their document type, e.g. e-mails to printers that use recycled paper. This will enable you to reduce costs and use your system more efficiently, while at the same time doing your part to preserve the environment.

Four small steps to one efficient print policy.
KYOroute’s comprehensive print rules are quick and easy to set up. All it takes is four small steps.

For example, you wish to prevent high-volume print jobs exceeding 30 pages from being Printed on desktop devices by automatically routing them to an MFP:

1. Define a name for the route, e.g. “Move over 30 pages to MFP”.

2. Assign relevant devices

3. Create rule (set criteria)

4. Assign rule (3) to route (1)

KYOroute Admin Console

Simple administrator set up
Configuration set up and on-going management of rules and routing is provided by a simple to use administrator user interface operated remotely from the KYOroute print server.

Intelligent job routing for maximum uptime.
KYOroute constantly checks the status of all available devices on the network. In the case of  a status alert, e.g. an empty paper tray, the print job can be immediately re-routed to another device. This way you can make sure print jobs always stay on the fast track. Each user can be automatically informed via e-mail or pop-up message as to why a print job was re-routed and to which device. As a result, the chain of events will always be clear.

The standard functions of KYOroute will provide you with high-performance routing routines that can easily deal with everyday requirements. The integrated scripting language will further multiply these possibilities: from compulsory duplex printing, the automatic deletion of repeated print jobs, to the order of printouts according to user priorities. Decolourisation is a powerful feature that can be used to ensure all unnecessary colour documents such as e-mails or web pages are printed in only mono, even when printed to a colour capable device. No matter what you want to achieve with your print policy KYOroute’s scripting language makes it possible.

For the record: Current data whenever you need it.
KYOroute activities can also be tracked to analyse print behaviour and to reveal users’ printing habits. You can have the most important data displayed as a regularly updated HTML document, including the amount of costs you have saved thanks to KYOroute.
